Risk Management Administrative Assistant | $17.50 - $20+/hour Depending on experience 
Monday - Friday, 8A - 4:30P   

Our client is looking for an administrative assistant who is proficient with Excel and a go-getter to join their team.  This position will be providing administrative support for the Claims/Risk Manager and Director of Administration & Finance.  Great team to work with along with great benefits.  

Responsibilities of Risk Management Specialist will include: 

  • Provide general administrative support for Risk Manager; schedule safety inspections, mail out self-inspection packets, follow-up on completed inspection reports not received from locations and handle initial reports of insurance claims. 
  • Provide backup to Safe Environment coordinator for background checks.
  • Assist with vehicle insurance program and request Motor Vehicle Reports (MVR) each month.  Maintain spreadsheets on company-owned vehicles and issue new ID cards when vehicles are purchased or replaced.
  • Produce billing for the property, liability, auto and workers’ compensation insurance programs and follow up with locations on unpaid invoices.
  • Update auto fleet records and make necessary changes for coverage and billing purposes; update property listings and add to ledger pages as required.
  • Assist with monitoring construction contracts and use of facilities by obtaining Certificates of Insurance or Applications for Special Events as appropriate and assist with the preparation of Certificates of Insurance for use of outside facilities. 
  • Assist with front desk coverage and mailroom duties as needed.
  • Arrange quarterly meetings and take minutes.  
  • Assist Director of Operations and Director of Finance with various staff support activities.
  • Provide backup of various tasks throughout the building as assigned.

Risk Management Specialist Requirements:

  • One year of advanced training in business administration, office procedures or general clerical skills. 
  • Minimum of two years’ experience in secretarial or office clerical duties. 
  • Proficiency with computer-based word-processing and spreadsheet skills required with knowledge of databases preferred. 
  • Proficient with Microsoft Excel; must know how to create and work with spreadsheets and use formulas.
  • Excellent organizational and communication skills needed including the ability to deal tactfully and graciously with the public. 
  • Respect for confidentiality of process/work is absolute.
  • Regular driving with occasional travel may be required so must have a valid driver’s license.
