Job Description

Temp Administrative Assistant

$20/hour Depending on experience

Monday - Thursday, 6am - 4:30pm

 

We’re looking for a detail-oriented Administrative Assistant to support our Maintenance Department. If you’re organized, proactive, and thrive in a fast-paced environment, this role offers the chance to make a real impact while collaborating with a dynamic team.

 

Responsibilities:

  • Organize and maintain digital and physical filing systems.
  • Manage calendars, schedule meetings, coordinate events, and arrange travel.
  • Build relationships with admin teams across departments to streamline processes.
  • Order supplies and track inventory.
  • Sort and deliver mail.
  • Coordinate catering for meetings.
  • Participate in safety drills.
  • Prepare materials and presentations for meetings and technical conferences.
  • Greet and assist visitors, ensuring a professional experience.
  • Set up new employees and contractors in the asset management system.
  • Post weekly overtime reports and track labor hours.
  • Enter work order data and close out completed maintenance tasks.
  • Audit contractor invoices for labor, travel, and per diem expenses.
  • Support maintenance team with software inquiries and report access.
  • Assist with turnaround administration, monitoring contractor labor and costs.
  • Provide backup support for other admin functions, such as accounts payable.

 

Requirements:

  • High school diploma or equivalent required; two years of college is a plus.
  • 1 year of administrative experience, preferably in maintenance or a similar environment.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational and time management skills.
  • Ability to work independently and handle multiple priorities.
  • Excellent communication skills, both written and verbal.
  • High attention to detail and a problem-solving mindset.
  • Professionalism and the ability to maintain confidentiality.

 

Compensation and benefits:

  • $20/hour DOE
